When can we legally shred client tax records?

IRS guidelines: most returns and supporting documents should be retained for 3 years from the filing date (or 2 years from tax payment, whichever is later). Retain 7 years if you claimed a bad debt deduction or worthless security loss. Some records (W-2s, employment tax records) require 4-year retention. Always confirm with your specific professional liability insurer before destroying.

Does FACTA apply to CPA firms?

Yes. The FTC’s Disposal Rule under FACTA applies to any entity that uses consumer financial information — including tax preparers, bookkeepers, and CPAs. “Reasonable disposal” under FACTA means shredding or destroying so the information cannot be read or reconstructed. A strip-cut shredder or recycling bin does not satisfy this standard.

What about destroying client records when a client relationship ends?

When an engagement ends, retain records per IRS and professional standards, then destroy securely. Our Certificate of Destruction gives you documentation that client files were destroyed rather than simply discarded — useful if a former client ever questions what happened to their records.

Can you handle year-end purges for accounting firms?

Yes — and we recommend scheduling a year-end purge every January for records that have exceeded their retention period. It’s the CPA calendar’s natural time for a document cleanout. We can accommodate large-volume annual purges on short notice.
