Document Shredding for Healthcare Facilities
NAID-certified shredding built for HIPAA compliance. From solo practices to multi-location health systems — we handle PHI destruction with the documentation your compliance team requires.
Healthcare Has Different Shredding Requirements
HIPAA makes document destruction a compliance obligation — not just a housekeeping task. Your shredding vendor must meet specific standards.
BAA Included
We execute a HIPAA Business Associate Agreement before service begins. Required for any vendor handling PHI — many shredding vendors skip this step.
NAID Certified
NAID membership means our security procedures, employees, and facilities are independently audited. Ask your current vendor for their NAID certificate.
Certificate of Destruction
Every pickup generates a COD accepted by HIPAA auditors and the OCR. Document every destruction event in your compliance file.
Bundle with Medical Waste
Already using MedWaste Solution for medical waste pickup? Add shredding to the same service contract — one vendor, one invoice, one call for questions.
Healthcare Documents We Shred
If it has a patient’s name on it, it’s PHI.
Healthcare Facility Types We Serve
From solo practitioners to large health systems.
Bundle Medical Waste + Shredding
Most healthcare facilities generate both. Bundle for convenience and savings.
One Vendor for Both Waste Streams
Medical waste pickup and HIPAA document shredding are natural complements — the same compliance mindset applies to both. Bundling with MedWaste Solution / OnTime Shredding means:
- One call for scheduling, changes, or issues
- One invoice to process
- One vendor BAA covering both services
- Volume discount on combined service
Frequently Asked Questions
Everything you need to know about our shredding services.
Does a BAA come with healthcare shredding service?
Yes — always. A signed HIPAA Business Associate Agreement is executed before your first pickup. No BAA = not HIPAA-compliant. We make it easy: our standard BAA is reviewed and ready to sign when you enroll.
How often should a medical practice schedule shredding?
Most small practices (solo physician, dental office) do monthly service. Busy multi-provider practices or hospital departments typically need bi-weekly or weekly pickups. We’ll help you right-size based on your actual document volume.
Can you service multiple locations under one account?
Yes. DSOs, multi-location health systems, and multi-site practices can have all locations on a single account with consolidated invoicing and a master COD record. Contact us to discuss a multi-site service agreement.
What about shredding old patient records that have exceeded retention?
Illinois, Indiana, Iowa, Missouri, Minnesota, Wisconsin, and Kentucky all have state-specific medical record retention requirements. When records reach end of retention, we handle large-volume destruction with full documentation. Ask us about record purge services for practices transitioning to EHR or closing a location.
Is a NAID-certified vendor required for HIPAA compliance?
HIPAA doesn’t explicitly require NAID certification, but HHS guidance strongly recommends using vendors with documented, audited security procedures — which is exactly what NAID certification provides. Many healthcare systems and their insurers now require NAID-certified vendors in their vendor qualification standards.
